The problem

Sound familiar?

Too many plates.Fifteen live pieces of work, all with different deadlines, none of them in one place. Something is going to slip, and you won't know which until it has.

The calendar fills with everyone else's priorities.Meetings land, the day gets carved up, and your own work goes in the gaps — if there are any left.

The important work isn't the loud work. The strategic piece slides another week, because nothing ever forced it into the diary.

You've tried task apps. They gave you a longer list, not more time. The list still doesn't tell you when any of it is actually going to happen.

Why I built MyPA — the thinking behind it →

Automatic scheduling

Finds the best time for each task using priorities, deadlines, meetings and your working pattern.

Tasks your way

Outlook tasks, Microsoft To Do, another task manager that syncs to Outlook, or MyPA's kanban Task Board.

Inbox to action

Smart Sweep clears the clutter and turns mail that needs you into tasks MyPA can plan.

Replans automatically

When the day changes, your plan adjusts — no rebuilding it by hand.

Time Log

See where the hours actually went, tracked against the work you planned.

Your data stays yours

Runs on your computer, through Outlook. Your mail and calendar never reach us.

Not another task manager

A planner that works for you

Most task apps give you a list. MyPA works out when you're actually going to do the work — and puts it directly into your Outlook calendar.

  • Turns your to-do list into a realistic plan
  • Fits around meetings and real commitments
  • Finds room for long-term work before the week fills up
  • Gives you back time and headspace

Protects the work that isn't shouting. Urgent work defends itself. The strategic piece, the thinking time, the thing due in three weeks — MyPA gives those real slots in your diary, so they stop sliding to next week.

Same Outlook. A more productive you.

Your tasks, your tools

Keep the task list you already use

MyPA doesn't ask you to move your work into yet another app. It plans whatever tasks it can see, wherever you prefer to keep them.

  • Outlook's own task and flagged-mail tools
  • The Microsoft To Do app, on your desktop or phone
  • Other task managers that sync into Outlook or Exchange
  • MyPA's own Task Board, built right in

Prefer to see everything at a glance? The Task Board presents your work as a kanban-style board — move cards between columns as work progresses, set priorities and durations, and MyPA plans it into your day from there.

Smart Sweep

Turn a cluttered inbox into progress

Smart Sweep can tackle a huge, uncategorised inbox — even years of accumulated email — and help you get it back into shape.

It automatically identifies and sorts different kinds of messages so you can focus on what actually matters. Emails that genuinely need your attention can become MyPA tasks, then enter the same planning process as everything else.

  • Sort into Keep, Action, Archive or Delete
  • Work towards Inbox Zero
  • Turn important email into MyPA tasks
  • Give those tasks actual time in your day

Time Log

Know where your time actually went

Planning the day is only half the story. MyPA also makes it easy to track how long things really took, so the week stops being a blur.

Because your work is already scheduled in the calendar, tracking time doesn't mean starting stopwatches and remembering to stop them. The Time Log gathers it up and shows it back to you.

  • Track time against the work you planned
  • See a day, a week or a single piece of work
  • Spot where the hours are really going
  • Useful evidence for timesheets, billing and reviews

Built into Outlook

Two ways to work

Use quick actions from the Outlook ribbon, or open the integrated modern MyPA Planner for a fuller view of your tasks and day. Either way, you're still working in Outlook.

  • Quick commands directly from the ribbon
  • Modern Planner window with your tasks, Task Board and Time Log
  • Your plan appears in Outlook Calendar
  • Calendar sync keeps it visible across your devices

MyPA is an add-in for Outlook classic on Windows. The newer "New Outlook" and Outlook on the web are not supported.

Worth knowing

No cloud service. No subscription. No new account.

Your data stays on your computer

MyPA is not a service that takes your data away and processes it somewhere else. It runs locally and works through Outlook, so your mail, calendar and tasks are never sent to us. The detail is in the privacy policy.

An add-in, not another app

MyPA installs into Outlook classic on your desktop and works entirely through it — no new window to live in and no separate MyPA account. If Outlook works with your account, whether that's Microsoft 365, Exchange, Outlook.com or another provider, MyPA does too.

£25. Buy it once.

MyPA costs £25 — a one-off purchase, not a subscription. Nothing renews and nothing is billed automatically. Payment is handled by Stripe, so any card Stripe accepts will work. Future major versions may be offered as an optional paid upgrade, but you're never charged without choosing to be.

Questions

Frequently asked questions

Is MyPA a task manager?

Its core purpose is planning: deciding when work should happen and placing it into your Outlook calendar. It does include a Task Board — a kanban-style view for seeing and managing your tasks — for people who want one. If you already have a task manager you like, keep it.

Which version of Outlook do I need?

MyPA is an add-in — some people call it a plugin — for Outlook classic on Windows, the traditional desktop application. The newer "New Outlook" and Outlook on the web are not supported, because they don't allow the kind of integration MyPA relies on.

What kind of email account do I need?

Any account that Outlook itself supports — Microsoft 365, Exchange, Outlook.com or another provider. All of MyPA's interaction happens through Outlook, so if your account works in Outlook, it works with MyPA. There's no separate MyPA account to create.

Does my email or calendar data get sent to you?

No. MyPA runs on your computer and works with your data through Outlook, on your device. We operate no service that receives your mail, calendar or task content. The only thing MyPA sends us is a licence check — a licence identifier and product version, with nothing from your mailbox. See the privacy policy for the detail.

Is MyPA a subscription?

No. MyPA is a one-off £25 purchase. Nothing renews, nothing is billed automatically, and we don't keep your card on file. Future major versions may be offered as a separate optional upgrade.

Can I carry on using Microsoft To Do or my existing task app?

Yes. If your tasks reach Outlook or Exchange — as they do with Microsoft To Do and with many other task managers — MyPA can plan them. You don't have to change how you capture work.

How do I see the time I've spent?

The Time Log collects time against the work you planned and shows it back to you — useful for timesheets, billing, or simply understanding where the week went.

What happens to my plan on other devices?

Because planned work is represented in your Outlook calendar, it follows the normal Outlook calendar sync to your other devices — including phones and tablets, even though the MyPA add-in itself runs on Windows.

How does the 45-day trial work?

Download and install MyPA and you can use the full product for 45 days without entering card details. The full trial terms are set out in our Terms & Conditions.

How much does MyPA cost?

£25. That is a one-off purchase, not a subscription — nothing renews and nothing is billed automatically. Payment is processed by Stripe, so you can pay with any card Stripe accepts. Try it free for 45 days first; you only pay if you decide to keep it.
