- Close Outlook The installer adds a MyPA tab to the Outlook ribbon, so Outlook classic needs to be closed before you start.
- Download and run the installer Download MyPAInstaller.msi and double-click it. If Windows shows a SmartScreen warning, choose More info → Run anyway.
- Follow the setup wizard Accept the licence terms and choose the install location, or keep the default.
- Reopen Outlook You should see a MyPA tab in the ribbon with Plan Day, Replan, Task Board, Time Log and Smart Sweep. There is nothing to sign in to — MyPA works through the Outlook profile you already have.
- Set your working pattern Tell MyPA your working hours and preferences so it plans work into time you actually have.
- Plan your first day Add a few tasks — in Outlook, in Microsoft To Do, or on MyPA's Task Board — then press Plan Day. MyPA will schedule them around your existing meetings.
System requirements
- What MyPA is — a desktop add-in for Outlook (some people call it a plugin). It installs into Outlook itself rather than running as a separate application.
- Outlook — Outlook classic for Windows, the traditional desktop application. [Confirm the supported versions, e.g. Outlook 2016 and later, and Microsoft 365 Apps.]
- Not supported — the newer "New Outlook" for Windows and Outlook on the web. Neither allows the kind of integration MyPA relies on. If your Outlook has a "New Outlook" toggle switched on, turn it off to go back to classic.
- Operating system — Windows 10 or Windows 11. [Confirm the minimum build you support.]
- Account — any account type Outlook itself supports, including Microsoft 365, Exchange and Outlook.com. All of MyPA's interaction happens through Outlook, so if your account works in Outlook it works with MyPA. There is no separate MyPA account to create and no mailbox to connect.
- Permissions — the ability to install desktop software on your machine. In managed organisations you may need IT to deploy the MSI.
- Disk space — [approximate install size].
Common questions
I'm using "New Outlook" — why can't I install MyPA?
MyPA is an add-in for Outlook classic for Windows. The newer "New Outlook" and Outlook on the web don't support the kind of integration MyPA relies on, so it can't run there. If you have the New Outlook toggle switched on in the top-right of Outlook, switch it off to return to classic, then restart Outlook.
Will MyPA work with my email account?
If Outlook works with it, MyPA works with it — Microsoft 365, Exchange, Outlook.com or another provider. Everything MyPA does goes through Outlook, so there is no separate MyPA account to create, no mailbox to connect and no permissions to grant to us.
Does my email or calendar data go to your servers?
No. MyPA runs on your computer and works with your data through Outlook, on your device. We operate no service that receives your mail, calendar or task content — it never reaches us. The only thing MyPA sends us is a licence check containing a licence identifier and product version, with nothing from your mailbox. The full detail is in the privacy policy.
Can I keep using Microsoft To Do or my own task manager?
Yes. MyPA plans whatever tasks it can see in Outlook, so you can carry on using Outlook's own task tools, the Microsoft To Do app, or another task manager that syncs into Outlook or Exchange. If you would rather manage everything in one place, MyPA's built-in Task Board gives you a kanban-style view of your tasks.
Where do I see how much time I have spent on things?
Open the Time Log from the ribbon or the Planner window. It collects time against the work you planned and shows it back to you, which is useful for timesheets, billing or simply seeing where the week went.
How much does MyPA cost, and is it a subscription?
MyPA costs £25 and it is a one-off purchase, not a subscription. Nothing renews and nothing is billed automatically. Payment is processed by Stripe, so any card Stripe accepts will work — your card details go to Stripe, not to us. Future major versions may be offered as an optional paid upgrade. See the terms.
The MyPA tab isn't showing in Outlook
Outlook may have disabled the add-in. In Outlook go to File → Options → Add-ins, set Manage to COM Add-ins, choose Go, and make sure MyPA is ticked. If it appears under Disabled Items, re-enable it there and restart Outlook. If it still doesn't appear, email us and we'll help.
Windows blocked the installer
New installers are sometimes flagged by SmartScreen until they build reputation. Choose More info and then Run anyway. If your organisation blocks MSI files entirely, ask your IT team to deploy MyPA for you — we're happy to provide what they need.
How do I start the free trial?
Just install MyPA. The 45-day trial starts automatically on first use — there's nothing to enter and no card required. MyPA will remind you before the trial ends.
My trial has expired. What happens to my calendar?
Nothing is removed. Work MyPA has already planned stays in your Outlook calendar as ordinary calendar entries. Planning and Smart Sweep stop until you enter a licence key.
Where do I enter my licence key?
Open the MyPA Planner from the Outlook ribbon and go to the licensing or account section, then paste the key from your purchase confirmation email. [Update this with the exact menu path in the product.]
MyPA planned over something important
MyPA schedules around the meetings and commitments it can see in your calendar. If something isn't in your calendar, or is marked as free rather than busy, MyPA may treat that time as available. Mark the time as busy, or block it out, then press Replan.
The plan didn't appear on my phone
MyPA writes planned work into your Outlook calendar, which syncs through Microsoft's own services. If it hasn't appeared, check that the same calendar is enabled on your phone and that Outlook has finished syncing on your desktop.
Does Smart Sweep delete my email?
Smart Sweep sorts messages into Keep, Action, Archive and Delete and shows you what it proposes. You stay in control of what actually happens to your mail.
How do I uninstall MyPA?
Close Outlook, then go to Settings → Apps → Installed apps in Windows, find MyPA and choose Uninstall. Calendar entries MyPA created stay in your calendar; delete them yourself if you no longer want them.
How do I send a log file with my support request?
Include the version of MyPA, your Windows and Outlook versions, what you did, and what happened instead. If we need logs, we'll tell you where to find them and how to send them securely. [Add the log file location here.]
Reporting a problem
The quickest way to get a fix is a clear report. Email support@nineworks.co.uk and include:
- Your MyPA version, Windows version and Outlook version.
- What you were trying to do, and exactly what happened.
- Whether it happens every time or only sometimes.
- A screenshot of any error message.
If you believe you have found a security vulnerability, please email security@nineworks.co.uk rather than posting publicly, and give us a reasonable opportunity to fix it.
